Privacy Policy

Last Updated: October 27, 2025

Introduction

Look, we get it - privacy policies can be a slog. But here's the deal: your trust means everything to us here at Noctyrian Hollow Fitness. We're not about playing games with your personal info. This policy breaks down what we collect, why we need it, and how we keep it locked down tighter than our deadlift PRs.

Whether you're crushing midnight workouts or just browsing our site, we want you to know exactly where you stand. We operate outta Vancouver, BC, Canada, so we follow Canadian privacy laws (PIPEDA) and take that stuff seriously.

Personal Identifiers: When you sign up for membership or reach out to us, we'll grab your name, email, phone number, and mailing address. Pretty standard stuff - can't run a gym without knowing who our warriors are.

Payment Details: Credit card info, billing addresses - whatever's needed to process your membership. We don't store full card numbers on our end though, that's handled through secure payment processors.

Health & Fitness Data: Yeah, we might collect some health-related info if you're working with our personal trainers. Emergency contacts, medical conditions that affect training, fitness goals, that kinda thing. This helps us keep you safe and get you results.

Facility Access Logs: Our 24/7 access system tracks when you check in and out. Security thing, mainly - gotta know who's in the building at 2 AM.

Website & Tech Stuff: IP addresses, browser types, pages you visit on our site. Standard web analytics to figure out what's working and what ain't.

We're not out here selling your data or spamming you with nonsense. Here's what we actually do with your info:

  • Running the Gym: Processing memberships, managing your account, granting facility access, scheduling sessions with trainers.
  • Communication: Sending you class updates, schedule changes, membership renewals, maybe the occasional newsletter if you're into that.
  • Safety & Security: Monitoring facility access, handling emergencies, making sure everyone stays safe during those intense night sessions.
  • Improvement: Analyzing what programs are hitting, what times are busiest, how we can make your experience better.
  • Legal Stuff: Keeping records for tax purposes, handling any disputes, following Canadian regulations.

We don't sell your personal info. Period. But we do work with some trusted partners to keep things running smooth:

Payment Processors: Companies like Stripe or Square handle transactions securely. They've got their own privacy policies and security standards.

Email & Communication Tools: We use email service providers to send updates and newsletters. They only get what's needed to deliver messages.

Analytics Services: Google Analytics and similar tools help us understand website traffic. This data's mostly anonymous.

Legal Requirements: If the law says we gotta hand over info (court orders, legal investigations), we'll comply. But we'll push back on overly broad requests.

All our service providers are contractually obligated to protect your data and use it only for the specific purposes we define.

We take security as seriously as we take form on heavy lifts. Here's what we've got in place:

  • Encryption: All data transmitted between you and our servers is encrypted using SSL/TLS protocols. That's the padlock you see in your browser.
  • Secure Storage: Personal data's stored on secure servers with restricted access. Not everyone on our team can access everything.
  • Access Controls: Staff only get access to the info they need to do their jobs. Trainers don't see billing details, front desk doesn't see medical info unless necessary.
  • Regular Updates: We keep our systems patched and updated to protect against new threats.
  • Physical Security: Our servers and physical records are kept in secure locations with controlled access.

Real talk though - no system's 100% bulletproof. We do our absolute best, but if there's ever a breach, we'll notify you ASAP and tell you exactly what happened and what we're doing about it.

Cookies aren't just post-workout snacks - they're also little files that help websites remember you. Here's how we use 'em:

Essential Cookies: These keep the site functioning. Like remembering you're logged in so you don't have to re-enter your password every two seconds.

Analytics Cookies: Help us figure out which pages get traffic, how long people stick around, what's popular. No personal identification here, just numbers and trends.

Preference Cookies: Remember your settings and choices so the site works how you like it.

Most browsers let you control cookies through settings. You can block 'em if you want, but heads up - some features might not work as smoothly.

Under Canadian privacy laws, you've got some solid rights when it comes to your personal info:

Access: You can ask to see what personal data we've got on you. We'll provide it within 30 days, usually faster.

Correction: If something's wrong or outdated, let us know and we'll fix it. Simple as that.

Deletion: Want us to delete your info? We'll do it, unless we're legally required to keep it (like tax records or active membership agreements).

Opt-Out: Don't wanna get marketing emails? Unsubscribe anytime. You'll still get important account-related stuff though.

Portability: Want to take your data elsewhere? We can provide it in a readable format.

To exercise any of these rights, just shoot us an email at info@noctyrianhollow.info or call (604) 555-8847. We'll verify your identity and get it sorted.

We don't keep your data forever. Here's generally how long we hold onto different types of info:

  • Active Membership Data: As long as you're a member, plus up to 7 years after for tax and legal purposes.
  • Marketing Data: Until you unsubscribe or ask us to delete it.
  • Access Logs: Typically 1-2 years for security purposes.
  • Financial Records: 7 years minimum for Canadian tax requirements.
  • Website Analytics: Usually aggregated and anonymized after 26 months.

Once we don't need your data anymore, we securely delete or anonymize it. No point hanging onto stuff we don't need.

Our facility and services are designed for adults (18+). We don't knowingly collect personal information from anyone under 18 without parental consent.

If you're under 18 and wanna train with us, we'll need a parent or guardian to sign up on your behalf and provide consent. They'll be responsible for the account and any data associated with it.

If we discover we've accidentally collected info from a minor without proper consent, we'll delete it ASAP. Parents, if you think this has happened, reach out to us immediately.

Things change - laws get updated, we add new services, technology evolves. So yeah, we might need to update this privacy policy from time to time.

When we make changes, we'll update the "Last Updated" date at the top of this page. If it's something major that affects how we handle your data, we'll let you know directly via email or a notification when you log in.

We recommend checking back here occasionally, especially if you're curious about how we're handling things. Staying informed is part of staying in control.

Questions or Concerns?

Look, we know privacy policies can be confusing. If you've got questions about how we handle your data, what rights you have, or anything else related to privacy - just reach out. We're here to help, not hide behind legal jargon.
